Lanaland provides baby and toddler music classes, children’s parties, family events, workshops and online music content.

• information about allergies, health conditions, additional needs or safety arrangements that you choose to provide

Payment details are normally processed directly by the relevant booking or payment provider. Lanaland does not normally receive or store complete payment-card details.

When you contact us

If you contact us by email, telephone, contact form, social media, messaging service or another method, we may collect:

• your name and contact details

• the content of your enquiry or message

• information relating to a potential or existing booking

• any other information you choose to provide

Photographs and videos

Lanaland may take photographs or videos during classes, parties and events.

We will ask for permission before using an identifiable photograph or video of your child for promotional purposes, including on:

• the Lanaland website

• Lanaland social-media accounts

• video-sharing platforms

• printed promotional material

• other Lanaland marketing

Photography permission is optional. Refusing permission will not prevent a child from attending or participating in an activity.

We also ask parents and guests to respect other families’ privacy and not publish identifiable photographs or videos of other people’s children without the relevant parent or guardian’s agreement.

When you visit our website

When you use our website, we may collect technical information including:

Health, allergy and additional-needs information

Information about health conditions, allergies, disabilities or some additional needs may be “special-category personal data” and receives additional protection under data-protection law.

Where a parent or guardian voluntarily provides this information, we use it only where reasonably necessary to:

• assess whether an activity can be provided safely

• make appropriate or reasonable arrangements

• communicate relevant safety information to those who need it

• respond to an incident or emergency

Where required, we rely on the parent or guardian’s explicit consent to use this information. We restrict access and do not use it for advertising.

You are not required to provide information that is irrelevant to the activity. However, if important safety information is not provided, Lanaland may be unable to make particular arrangements or may need to discuss whether participation can be managed safely.

Children’s information

Most information Lanaland holds about a baby or young child is provided by their parent or guardian.

We aim to collect only the minimum information necessary to:

• arrange and manage the activity

• ensure that it is age-appropriate

• support the child’s participation

• make appropriate safety arrangements

• use approved photographs or videos

Parents and guardians should avoid providing unnecessary or excessively detailed information about a child.

Children have data-protection rights in their own information. Depending on the child’s age and understanding, these rights may be exercised by the child or by an authorised parent or guardian acting on the child’s behalf.

Marketing communications

Booking confirmations, reminders, cancellations and safety messages are service communications and are not marketing.

We will only send marketing emails or messages where we have an appropriate legal basis to do so.

You can stop receiving marketing at any time by:

• selecting the unsubscribe option in a marketing email, where available

• contacting info@lanaland.co.uk

Stopping marketing will not prevent us from sending necessary communications about an active booking.

Photographs and video permissions

Where we rely on permission to use an identifiable photograph or video of a child:

• permission will be optional

• refusing permission will not affect the child’s ability to attend

• we will record the permission given

• the image will only be used for the purposes covered by that permission

• the parent or guardian can withdraw permission by contacting us

If permission is withdrawn, we will stop making new use of the image and take reasonable steps to remove it from websites, social-media accounts and materials controlled by Lanaland.

It may not always be possible to remove an image from material already printed, content already shared by other people, archived copies or platforms outside Lanaland’s control. Withdrawal does not make earlier use of the image unlawful.

Who we share information with

Where necessary, we may share limited personal information with trusted organisations or individuals supporting Lanaland, including:

• booking platforms such as Happity

• payment-processing providers

• website hosting and website service providers such as Squarespace

• email and communication providers

• cloud-storage and business software providers

• accountants, bookkeepers or professional advisers

• venues and event organisers

• performers, assistants or contractors supporting an activity

• social-media and video platforms where approved material is published

• insurers, legal advisers or claims handlers

• emergency services, safeguarding bodies or public authorities where necessary

• regulators or law-enforcement bodies where disclosure is required or permitted by law

We only share information that is reasonably necessary for the relevant purpose.

Some external services, including booking platforms and social-media providers, may also use personal information as independent data controllers under their own privacy notices. You should read the privacy information provided by those services.

Information processed outside the UK

Some service providers used for website hosting, email, cloud storage, payments, social media or video hosting may process information outside the United Kingdom.

Where Lanaland is responsible for such a transfer, we take reasonable steps to ensure that an appropriate legal safeguard is in place. This may include:

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

Our general approach is:

• routine enquiries that do not result in a booking are normally deleted within 12 months of the last meaningful contact

• operational booking information is normally retained for up to two years after the activity, unless it is also required as a financial record or in connection with a dispute

• health, allergy and additional-needs information is deleted when it is no longer needed for the activity, unless it forms part of an accident, safeguarding, complaint or legal record

• financial and tax records are retained for the period required by HMRC

• marketing information is retained until consent is withdrawn or it is no longer reasonably required, subject to periodic review

• photography permission records are retained while the relevant images are being used and for a reasonable period afterwards

• unused original photographs and videos are periodically reviewed and deleted when no longer required

• accident, complaint, safeguarding or legal records may be retained for longer where necessary to respond to a concern, meet an obligation or establish, exercise or defend a legal claim

When information is no longer required, we will delete it securely or anonymise it so it can no longer identify anyone.

How we protect information

We take reasonable administrative and technical measures to protect personal information against:

• unauthorised access

• accidental loss

• misuse

• inappropriate disclosure

• alteration

• destruction

These measures may include password protection, device security, restricted access, secure service providers and periodically reviewing the information we hold.
